Position Summary:

The Credit & Collections Administrator is a key member of the Credit team responsible for ensuring timely and accurate processing of customer payments, credit and debit memo management, and supporting collection activities. This role plays a crucial part in maintaining healthy cash flow and customer account integrity by managing incoming cash applications, assisting with misc. tasks, and following up on outstanding balances. The ideal candidate is detail-oriented, highly organized, and capable of balancing transactional accuracy with responsive customer service.

Responsibilities and Essential Functions:

  • Cash Processing & Application: Accurately process and apply customer payments to appropriate invoices and accounts within ERP systems, ensuring prompt and precise reconciliation.

  • Credit & Debit Memo Management: Create, process, and monitor credit and debit memos in compliance with company policies and customer agreements, ensuring appropriate approvals and documentation.

  • Collections Support: Assist the Credit & Collections team with follow-ups on overdue accounts, respond to customer inquiries regarding balances, and help resolve payment discrepancies or disputes.

  • Administrative & Team Support: Perform various tasks to support the broader Credit & Collections team, including report generation, document filing, and internal/external correspondence.

  • Distribute account statements

  • Participation in sales tax project

    • Obtaining resale certificates/exemption forms

    • Verifying and uploading valid certificate

    • Notification of tax on orders

Qualifications, Skills and Education:

Required Qualifications:

  • 1+ years’ experience in B2B collections

  • High School diploma or equivalent

  • Proficiency in MS Excel, Outlook

  • Strong, professional communication skills (written and verbal)

  • Strong time management and organizational skills

  • Verified 50 WPM or greater

Preferred Qualifications:

  • Experience in high volume environment

  • Customer service experience
